Managing the AI assistant
The AI Configuration Assistant sets up and evolves your workspace from plain-language requests — see Set up with the AI assistant for how to use it. This page covers the administration side in Admin → Assistant: watching usage, controlling access, and connecting your own AI account.
Usage and budgets
Section titled “Usage and budgets”Every conversation with the assistant consumes tokens — the unit AI usage is measured in. The Usage panel shows today’s, the last 30 days’ and all-time consumption, with an estimated cost, so you always know where you stand.
Each plan includes a monthly token budget:
- The free tier’s budget comfortably covers initial setup and light ongoing use.
- Paid plans include progressively larger budgets — see Billing & plans.
- When the monthly budget is used up, the assistant pauses until the next month — your workspace and data are never affected; only the assistant waits.
Who can use the assistant
Section titled “Who can use the assistant”By default the assistant is administrators only. Under Access, grant additional groups the ability to:
- Chat with the assistant — ask questions, explore configuration, draft proposals.
- Approve proposals — actually apply the changes the assistant suggests.
Splitting the two works well: let power users draft (“create a report of unpaid members”) while administrators keep the approval. Every applied change is validated, audited and captured in change tracking exactly as if the approver had made it by hand.
Custom AI connection
Section titled “Custom AI connection”On paid plans you can connect your own Anthropic API key under Custom AI connection:
- Paste your API key — it’s stored encrypted and never displayed again.
- Optionally choose the model to use.
With your own key, usage is billed directly to your own AI account and the plan’s token budget no longer applies — no monthly limits from PeoplePit’s side. The usage panel keeps tracking consumption so you can reconcile with your provider’s invoice. Remove the key at any time to fall back to the plan budget.
Good to know
Section titled “Good to know”- The assistant only configures — it can create and change record types, fields, workflows, forms, reports, dashboards, automations, notification rules, translations and integrations, but it never touches your records’ data files, and it never applies anything without an explicit Approve.
- Secrets are off-limits by design: the assistant can create integration connectors, but API keys and passwords are always entered by an administrator in Admin → Integrations, never through the assistant.
- Every proposal card and result stays in the conversation history, so you can always trace what was asked, proposed and applied.
